Who we are.

Smart Shelter Foundation ("SSF," "we," "our," or "us") is a non-profit organization (ANBI/PBO status) registered in the Netherlands. We focus on research and sustainable, safe building practices.

What personal data we collect & our legal basis.

We only collect personal information that's necessary for a specific purpose. Under the EU General Data Protection Regulation (GDPR), we must have a valid legal reason for doing so.

Donations (general)

We don't collect your address for general donations. Secure third-party services (Stripe, PayPal) handle your payment details. We use any non-payment information you provide (like your name for a donation receipt) based on our Legitimate Interests for administrative and accounting purposes.

TNR patch donations

When you request a TNR patch, we collect your name, email, and postal address. Our legal basis for this is Performance of a Contract. You're entering an agreement with us to receive a patch, and we need this data to ship it to you.

Communication

If you contact us via email or our contact form, we collect your name and email to respond to your inquiry. Our legal basis is Legitimate Interests — it is necessary to reply to you.

We will never use your information for marketing or other unrelated purposes without your explicit consent.

Payments.

Donations are processed through secure third-party services like Stripe and PayPal. We also offer the option for a direct bank transfer.

Third-party processors

We do not store your credit card or banking details on our servers when you use Stripe or PayPal. Please refer to their respective privacy policies for information on how they handle your data.

Bank transfers

If you choose to donate via bank transfer, we will receive your name and the amount of the donation through our bank's records. This information is used solely for the purpose of processing your donation and for our financial records, as required by law.

Data usage & sharing.

We use your information solely for the purposes for which we collected it.

Processing donations

We use your information to process donations and maintain financial records.

Shipping TNR patches

We use your name, email, and postal address to ship TNR patches.

Sharing with Torino Nice Rally (TNR)

We may share your name, email, and home address with TNR for administrative purposes only. We use a shared, secure Google spreadsheet to provide this information, and we have a clear understanding with TNR that this data is to be used solely for the specified purpose of patch administration.

We do not share your personal data with any other sponsors or third parties unless required by law.

Data retention policy.

We will keep your personal data only for as long as needed to fulfill the purpose for which it was collected or to comply with our legal and financial obligations.

Financial records

We are legally required to keep records of donations for a certain period. We will retain these records, which may include your name, for as long as legally required by Dutch law (typically 7 years).

TNR patch donations

We will keep your name, email, and postal address for a limited time after we've shipped your patch. This allows us to handle any follow-up questions. After this period, we securely delete or anonymize this data.

Communication

We will keep your name and email for as long as needed to resolve your inquiry.

Website hosting

Our site is hosted on Framer, which may automatically collect connection data (e.g., IP addresses) for security and operational purposes. We do not access, store, or process this data. For details, see Framer’s Privacy Policy."

You can request a copy of the data we hold about you.

You can ask us to correct any inaccurate data.

You can ask us to delete your personal data. Note that this isn't an absolute right; we may need to keep some data for legal reasons.

You can request to receive your data in a machine-readable format and transfer it to another organization.

Object

You can object to our processing of your personal data. To exercise any of these rights, please contact us and we will respond to your request within one month.

Our website, hosted on Framer, uses only strictly necessary cookies for basic functionality (e.g., page loading). These do not collect personal data.
